Overview:
The JYC Operations Coordinator position operates within the Jean Yawkey Center team, and is responsible for the daily operations of the Jean Yawkey Center. The Jean Yawkey Center includes the Maureen Murphy Wilkins Atrium, Jean Yawkey Center for Community Leadership Conference Room, Jean Yawkey Center Gymnasium and Andy Yosinoff Court, Information Center, Fitness Center, and various meeting rooms, administrative offices, and study spaces. Specifically, the Operations Coordinator is tasked with the overall operation of the Jean Yawkey Center including event operations, facility maintenance, and staff training and development. The Operations Coordinator reports directly to the Assistant Director of Student Involvement and Recreation.
This role is for Information Center Specialists who have worked one academic year before submitting their application. Each coordinator will receive performance evaluations at the end of each semester by the Assistant Director of Student Involvement and Director of Student Involvement.
The Operations Coordinator position is three separate leadership positions within the Information Center Specialist team. The roles are listed as followed, along with their specific expectations and responsibilities:
Orientation & Marketing Coordinator:
The Orientation and Marketing Operations Coordinator works closely with the Assistant Director of Student Involvement to train and onboard both new and returning staff members to ensure daily operations within the Jean Yawkey Center are done correctly and consistently. This consists of monthly training, PowerPoint presentations, meetings with student staff members and supervisor, and facilitating ongoing discussions about issues/concerns to improve the training process.
The Orientation and Marketing Operations Coordinator also maintains building advertisements, making sure that all marketing materials posted within the building are updated and approved by the Office of Student Involvement. This position works directly with the Office of Student Involvement to ensure marketing materials are approved in a timely manner on Engage and displayed in designated areas.
The Orientation and Marketing Operations Coordinator is responsible for maintaining open communication between student employees and professional staff, to guarantee information regarding both Jean Yawkey Center and front desk policies are communicated properly. Any questions regarding the desk, bulletin board policies, and training should be directed to the Orientation and Marketing Operations Coordinator.
Fitness Center and Recreation Coordinator:
The Fitness Center and Recreation Coordinator works with the Assistant Director of Student Involvement and Director of Student Involvement in maintaining the Fitness Center, available to only Emmanuel College students, faculty and staff. Through this role, the Fitness Center and Recreation Coordinator is responsible in assisting in the oversight of the Fitness Center Equipment Form which is a centralized form for documenting all equipment issues. Additionally, this role supports maintaining records of all work orders for the Jean Yawkey Center building to ensure that building operations run smoothly.
The Fitness Center and Recreation Coordinator role also is responsible for ensuring that all recreation and technology equipment is properly stored, and the Information Center Specialist desk and storage are organized and well maintained. This Operations Coordinator keeps track of the sign out sheet for the Emmanuel College community and communicates with the Assistant Director of Student Involvement and Recreation when equipment is missing or needs to be replaced.
The Fitness Center and Recreation Coordinator also supports all recreational opportunities within the Office of Student Involvement and other campus partners to ensure when there are Athletic games or guests for rental spaces, that all operations are completed.
Scheduling & Events Coordinator:
The Scheduling & Events Coordinator works with the Assistant Director of Student Involvement on collecting availability from the Information Center Specialist to create the schedule for the staff. Through this role, the Scheduling & Events Operations Coordinator is responsible for maintaining the documentation for all student shift coverages to follow the timeline of when shifts can be requested to be changed by.
This role will also work closely with the Fitness Center and Recreation Coordinator on ensuring that all event spaces are properly set up and cleaned up for on campus events for campus partners, departments, and recognized student organizations. In ensuring that all event spaces are properly set up, the Operations Coordinator will also maintain and review the hourly Information Center Specialist building form. The Scheduling & Events Coordinator will also be trained on all technology equipment within the Jean Yawkey Center to ensure that all microphones, speakers, televisions, and TVs work properly prior to events.
